Minutes
August 5, 2013

The Committee met at Town Hall.

Carole opened the meeting at 7:05 pm.

Members Present: Carole, Tina, Ted, Nancy, Carol, Paula, Gail

Members Absent: Theresa, Dawn, Jason and Nicole

Secretary’s Report: The minutes of the June 3, 2013 meeting were approved.

Treasurer’s Report:

Current balance along with expenditures were reviewed. Received check with an additional $100 from Globe for their garden sponsorship. Nancy gave an accounting of what was collected at the collection boxes around town. Because Jitters is moving, she has picked up that box and will place it in the new location when Paul re-opens.

5 of the flag pole tops were stolen, Carole purchased 13 replacements at Flagworks for $35.40 which was their entire inventory. The tops will now be glued on. It was voted and seconded to reimburse Carole.

A motion was made and seconded to issue a $500 check to Dan Schroth for work being done on the Washington House Lot, he hopes to finish the rock wall this week.

Old Business:

The Fall Mum and Bake Sale has been moved to August 24th from 8 am to 1 pm. We have ordered 200 plants. Ted and Paula will be bringing tables. Ted, Paula, and Nicole will bring tents. Carol will donate “garden related” items that we will give away for free, but have a box requesting a donation.

Besides cookies and other baked goods some members will be baking pies, and we are going to ask Paul for a plate of pastries.

Carol will speak to Nicole about sign boards for Rte 28 to attract people into town.

There was discussion about how to mount our banner. Paula is going to use Velcro and grommets on her tent to secure it in place.

Nicole was able to get a free block advertisement put in the Suncook Valley Sun.

Jason will tape our ads on his pizza boxes. Ted will place our ads at the other pizza places in town. Carol will also place signs around town and in Epsom, Chichester, and Northwood and write a thank you letter for publication in the Sun.

Paula will be taking pictures of the gardens

Ted, Nicole and Carole will meet at Osbornes at 6:00 am to pick up the plants. Paula will pick up Ted’s tables and tent. Carol, Gail, Tina, & Paula will set up the tents and tables. Carol will get to the lot by 6:30 am.

Ted is going to see if he can get our sale advertised on the Globe electronic sign.

New Business:

NEMO garage had offered us their parking lot for fund raising at the balloon rally. Unfortunately it was too late for us to organize. We will send them a letter of thanks and get in touch with them next year.

We received a thank you note from Donna Keeley for our efforts on the town gardens.

Next year we will discuss taking on the flowers for Town Hall and the Police Station. Ted will go to the Selectboard to ask if we can put a donation box out to collect funds for the plants .

Tina spoke about a business showcase being held at Barton Lumber on Oct 5th. We will put it on the September agenda to discuss.

It was suggested that we have a recruiting drive before our first meeting in 2014, to attract more volunteers.
Several ideas were also floated about future fundraisers.

We will discuss the planting of the Washington House Lot at the September meeting.

Nancy graciously offered her house again this year for an October end-of-season pot luck party. We will set a date at the next meeting.

Because of the holiday our “September” meeting will be held at the end of August.

Next Meeting and Adjournment:

Our next meeting will be held Tuesday August 27th at 7:00 pm at the Town Hall.
