Minutes of Josiah Carpenter Library Trustees Meeting
January 13, 2010

The meeting of the Trustees of the Josiah Carpenter Library was called to order at 6:40 p.m. on January 13, 2010, in the children’s room of the library.
Present: Chair Sylvia Wallace
Treasurer Mary Schelble
Director Roza Benoit
Secretary Dana Sansom

Acceptance of the Minutes .The minutes of December 8, 2009 meeting were accepted as written
Public Hearing

In accordance with RSA 202-A-ciii to put before the public the action to be taken on all unanticipated money from the state, federal or other governmental unit or any private source that has become available during the 2009 calendar year.

The motion (Sylvia/Mary)to accept all unanticipated money from the state, federal, and other governmental units and private sources that have been come available during the 2008 calendar year. (The total being 1900.82)
Reports:
• Director’s Report
Programs:
1.) Preschool Story Hour has had excellent attendance averaging 5 moms, and 10 children attending regularly, additional attendees semi regularly

Library Staffing:
Judith is on vacation. Annie is covering.
Staff evaluation process has begun. Judith was completed.

Library Operations:
1.) Weeding continues.

• Treasurer’s Report

The Director’s Report and the Treasurer’s Report were accepted.

Old Business:
• Building Maintenance update- droughty windows will be covered in plastic.
• Schedule Library Director‘s 1st Annual Review- This will be at the next meeting-we will meet at 6 pm to go over our reviews. Roza’s goal for the year is to increase outreach to the school and to increase programs and to write the column for the papers.
• Walkway plants or bushes- there was a discussion that the Barberry
were listed in 2004 as being put on the invasive plant list for 2007-In spring we will get a soil sample done. Dana made a motion to do a soil test in the spring. And Sylvia seconded it.
• Sylvia and Roza rewrote the warrant article to create an expendable trust Fund
To be known as the Josiah Carpenter Library Building Maintenance Expendable Trust Fund.
Sylvia wrote a letter requesting support from Library Patrons for a Conservation License Plate Grant. The letter was reviewed.

New Business:

• Review draft of the annual reports -the 2009 Report of the Josiah Carpenter Library –was reviewed and discussed. Minor changes were made. It was suggested by Sylvia to have a library column in the Suncook valley news so that the public is more aware of current library services.

• Discussed Library Legal name discrepancy
• Corrections with Bank by request of IRS
• Ordering new checks for General Fund and Trustee accounts

Mary moved that we update both checking accounts with the appropriate names so we are in accordance with our legal name Sylvia seconded. Motion passed.
• Chairs in furnace room –Mary wanted to move some of the chairs out of the furnace room. That will happen.

The Trustee meeting adjourned at 8:20 pm
