Josiah Carpenter Library Trustees Meeting Minutes of the Josiah Carpenter Library Trustees Meeting
May 12, 2009

The meeting of the Trustees of the Josiah Carpenter Library was called to order at 6:30 p.m. on May 12, 2009, in the children’s room of the library.
Present: Chair Sylvia Wallace
Director Roza Benoit
Treasurer Mary Schelble
Secretary Dana Sansom

Acceptance of Minutes: The minutes of April 14, 2009 were accepted as written.

Reports:

Directors Report:

• This is the last week of the Community Outreach Coffee and donuts for the Police Department. There are 5 new patrons from the Police Department as a result of the program. Officers came 4 out of 6 weeks. The next Outreach program is a bagels and cream cheese program for the Fire department.

• The Library is weeding books out and getting donations for books for the town wide yard sale.

• Roza is getting ready to go to NHLA conference. She will have a report on the conference at the next meeting

• Roza has completed a packet for new patrons which includes bookmarks, pencil, the website and patron policies.

Treasurer’s Report:
The Quarterly Financial Report was gone over. Financial reports for April and the Quarterly Financial Report were accepted. Auditors have completed their review of the 2008 and first Quarter records. Mary asked that Roza put the budget line in the monthly reports as well as in the quarterly reports. Roza handed out annual report for the fiscal year 2008.

Old Business:

Building Maintenance update:
• Kyle Parker, the Pittsfield Building Inspector will set up a time soon to install the attic insulation and will come when the Library is closed.
• The furnace has not been cleaned yet. Sylvia will remind Paul Skowron,the town administrator, because he sets up the appointment for this.
• The wall outside the library is failing and needs to be addressed.

Review of personnel policy:
• We discussed clarification of vacation time for both the director and all other library employees.
• Mary made a proposal that we redo the personnel policy. Sylvia will go through the policy book and will review the policies and see what needs to be updated.

New Business
NHLTA Conference Workshop was attended by Sylvia and Mary
• At the conference they suggested that we should have an alternate. This was discussed.
• According to the NHLTA the trustees cannot make financial or other decisions by Email or by phone calls – have to post a meeting and then have a meeting.

. Miscellaneous:
An E- mail from Leslie Vogt on whether it is time for the Josiah Carpenter Library to consider combining with the Pittsfield School District Libraries was discussed . It was decided that the missions of the two systems were not close enough to consider the idea.

Next Meeting:
The next meeting will be on June 9, 2009. We will do an annual walk around the library on that date.
