Josiah Carpenter Library Trustee Meeting
Minutes
October 14, 2010 6:35 pm

Present: Sylvia Wallace, Chairman, Roza Benoit, Director, Mary Schelble, Secretary, (Dana Sansom absent without notice)

Acceptance of Minutes: Moved and seconded (Mary /Sylvia) to accept the minutes for the September 16, 2010 meeting.

Old Business:
• Maintenance report:
– Century Mechanical Inc came today and fixed a leaking pipe attached to a radiator. The director was pleased with the gentleman’s services.
– The gutters were cleaned by Mr. Ed Vien and another person.
– Sylvia Wallace received word from Mr. Roeper that the storm windows are to be installed very soon.
– The soil sample taken by Dana Sansom has been evaluated. A follow-up review of the report will be done when Dana is present.
– In October the furnace will be cleaned. The service has been set up by the director.
– The director will instruct Rick Anthony to drain the radiators more frequently. This was strongly recommended by the technician from Century Mechanical.

• Fines:
– A discussion was held regarding fine tuning the late charges for books. The director will write up a procedure stating that a grace period of 3 days may be given for extenuating circumstances with the full fine (from day 1) going into place if book is not returned before the 4th day. Also the charge for printing 5 sheets will be $1.00 or 25cents/copy.

Director’s and Treasurer’s Reports: Reviewed and accepted as written with discussions held regarding staff and director’s attendance at classes, desk coverage this past month due to vacations, sickness and Carol’s husband’s death. Also a discussion was held regarding the status of the monies at this time – the fourth quarter. The CD (coming due tomorrow) will be renewed by Sylvia with the best rate being taken.

New Business:
• The trustees received a note from Carol Grainger and family thanking them for the bouquet of flowers.
• Discussion was held regarding future planning for the library with no decisions being made at this time.
• The director has received notice of donations being made to the library by very generous people. The formal acceptance will be noted when the monies are received.
• A letter was received from the Friends of the Library and a response will be made.

Adjournment: It was moved and seconded to adjourn at 9:10 pm. (Mary, Sylvia)

Next Meeting: November 18, 2010 6:30 pm. (because November 11, 2010 is Veterans Day)
