NEW BUSINESS

Progress report: 30 units inspected as of the meeting from last month. Many issues regarding issuance of 1 year licenses. Numerous problems with housekeeping of the records. It appears a lack of backup data. The files are being gone through from all inspection starting January 2013 and being review. Any discrepancies are being addressed as found.

Some suggestions on how to make a smooth transition on how to issue license after paying. The HSA board is unable to utilize the Town Hall Administrative Assistant, except to collect cash.

The board agreed to have the Deputy Inspector be in office Mondays from 11am – 1pm to issue licenses and take payment. If unable to make it in during that time, the landlord can send payment via check or money order and a SASE for their permit to be mailed to them.

Once the 2013 files have been evaluated, and the 2012 and 2011 files will be reviewed and cleaned up.

Citizen complain about bed bugs. The Deputy Inspection met with the property rep and the exterminator and found no signs of bed bugs. The exterminator signed stated they found no evidence of said bed bugs.

New apartments are still being discovered. A property was found on the outskirts of town. The HSA records show only one unit, but it appears there are three. The HSA Deputy Inspection will continue to work on gathering info.

Posting of Vacancies- HSA Inspector and HSA Administrator: A job ad will be put together. Some verbiage was discussed by the board.

A motion was made by Pat Heffernan seconded by Helen Schiff to enact the provisions in the February 25, 2008 meeting of the HSA meeting, section 4 C that Future Inspectors will have to attain certification (IPMC Inspector) within 60 days after appointment. The reference to IPMC is International Property Maintenance Code.
