Draft Trustees of the Trust Funds Meeting Minutes

Opening:
The meeting of the Trustees of Trust Funds was called to order at 8:15 AM, April 18, 2014 in the Pittsfield Town Hall by Harry Vogt, Meeting Chair.

Approval of Minutes: Minutes of the March 6, 2014 meeting were approved as presented.

Approval of Treasurer’s Report: Treasurer’s Report was accepted as presented.

Public Input:
1. The Trustees heard from Cedric Dustin III, representative of the PCDC, of the PCDC’s current financial status. It was recommended to Mr. Dustin that the PCDC submit a formal request to be considered by the Trustees for specific work projects funding.

Old Business:
1. The Trustees approved the award to the PYBA in part to support the anticipated completion of the upper field at the Tilton Hill location. A letter of the decision is to be mailed to PYBA with instructions as to how the award may be claimed.
2. The Trustees discussed possible meeting times with T.J. Shaughnessy (Morningstar) to review the funds under their advisement.
3. PayPal: The Selectboard has approved the creation of an account to support the fundraising efforts of the Trustees for the Foss Family Scholarships.
4. Database: Software has been purchased through a generous gift of Richard and Lois Foss and processes are being established to share the information via an online sharing medium.
5. Date for mailing of Foss Family Scholarship Awardee updates and fundraising requests: Tentatively set for May 23, 2014
6. An email reminder will be sent out to the Foss Family Scholarship Committee about possible membership of a committee to award scholarships for the John Dunne
Memorial, VFW, and Greater Pittsfield Citizens Scholarship Foundation scholarships. New Business:
1. Adam Davidson, Financial Advisor, updated the trustees on the current investments of The Foss Family Pittsfield Town Scholarship Trust.
2. Strategies were discussed to review like-trusts to see if policies governing them might be combined. Harry will research further.
3. Cemetery Trust: Cara shared the financial status of the Cemetery Trust Funds as an update to the Trustees.
4. Trustee Trainings: The Trustees received information about annual seminars in regards to updates and review of laws currently governing Trustees of Trust Funds.
